Job Description: Accounts Administrator
Position: Accounts Administrator
Reporting To: Accounts Supervisor
Location: APSA International, Trianon, Mauritius
Job Summary: The Accounts Administrator provides essential clerical and administrative support to the Accounts Supervisor and Accounts Executive. This role involves assisting with the filing and maintenance of financial documentation and other documents, petty cash administration, banking tasks and back up for cashiers, and other duties as required to ensure smooth and efficient accounting operations.
Key Responsibilities:
1. Clerical Support for Accounts Supervisor and Accounts Executive:
- Provide general clerical assistance, including (i) organizing and filing financial documents and records as requested.
- Prepare and maintain spreadsheets as requested by the Accounts Supervisor and Accounts Executive.
- Ensure that all accounting files are accurate, up-to-date, and easily accessible.
- Assist in preparing reports and other financial documents as needed by the accounting team. This includes printing, scanning and binding the reports where required.
2. Petty Cash Administration:
- Maintain the Petty Cash float and perform a monthly reconciliation, ensuring that all receipts are accounted for and match the petty cash balance.
- Help track petty cash usage and ensure compliance with company policies.
- Support the Accounts Supervisor in preparing petty cash reports and reconciling discrepancies.
3. Assistance with Banking:
- Support banking tasks, such as preparing bank deposits and maintaining accurate records of banking transactions.
- Help prepare and track daily cash and bank reconciliations.
- Assist with processing payments and coordinating with the bank for transactions as needed.
4. Backup for Cashiers
- Perform cashier duties in their absence
- Import sales invoices from EMR to quickbooks and reconcilie with daily banking
5. Other Duties as Requested:
- Perform additional tasks or special projects as assigned by the Accounts Supervisor or Accounts Executive.
- Provide support during audits by organizing documents and preparing requested reports.
- Assist in any other administrative tasks that help streamline the accounting and finance operations.
Qualifications & Skills:
· Education: A High School Certificate or equivalent.
· Experience: At least 1-2 years of experience in an administrative or clerical role, preferably in accounting or finance.
· Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, Outlook), and experience with quickbooks is an added advantage.
· Attention to Detail: High level of accuracy and attention to detail in administrative tasks and financial record-keeping.
· Organizational Skills: Strong organizational and time-management skills to handle multiple tasks efficiently.
· Communication: Good verbal and written communication skills to interact effectively with team members and external parties.
· Teamwork: Ability to work collaboratively within the accounting team and assist in achieving departmental goals.
